Best practices for sending enquiries, using message templates, and maintaining professional supplier relationships.
Both your account profile (basic details) and buyer profile (sourcing preferences) must be sufficiently complete before you can send enquiries. This ensures suppliers receive meaningful context about your business when your message lands — if either is incomplete, the Send Enquiry button will display “Complete Profile to Send”. Head to Dashboard → Buyer Profile to fill in the required fields.
On any deal card, click the “Send Enquiry” button. A side panel will open with a message composer.
A good first enquiry introduces your business and shows you're serious. Here's what to cover:
Respond Promptly
If the supplier replies with pricing or questions, respond within 24 hours. Slow responses signal you're not serious.
Be Professional
Use proper grammar, spell check your messages, and keep your tone professional. This is a business relationship.
Don't Spam
Don't send multiple enquiries about the same deal. Don't message every supplier asking for discounts. Quality over quantity.
Ask Clear Questions
Vague questions = vague answers. Ask specific MOQ, pricing for specific quantities, shipping costs, lead times.
Message templates at Dashboard → Templates save time on common supplier communications. Create custom templates for different scenarios:

Free
Can contact Supplier Pro members only, on any Pro deal or standalone profile. Non-Pro suppliers show an “Upgrade to Contact” lock on the Send Enquiry button.
Standard
Adds enquiries on any supplier via its deal listings (Pro or non-Pro). The Send Enquiry button on a standalone non-Pro profile in the Suppliers directory still requires Premium.
Premium
Full contact access everywhere — every deal listing and every standalone supplier profile unlocks. Phone, email, and LinkedIn contact details also become visible on non-Pro supplier profiles.
Premium+
Everything Premium has, plus Custom Sourcing (our research team finds matching suppliers for you), the daily Personalized Digest, the supplier-wide Review tab on every supplier profile, exclusive member discounts, and the higher 750 website-visits/month cap.
When contacting the same supplier for multiple deals, use the Enquiry List at Dashboard → Enquiry List. Add multiple deals from the same supplier, then send them all in one batch enquiry. This shows the supplier you're a serious buyer, saves time, and may get you volume discounts.
A listed MOQ is a starting point, not a hard rule. Most suppliers flex for buyers who communicate clearly and give them a reason to say yes. Five levers that actually move MOQs:
Offer a small per-unit premium on the trial
'If you can drop MOQ from 500 to 100, I can pay €4.10/unit instead of €3.75.' Suppliers protect their volume-tier pricing — this reassures them the tier structure isn't being gamed.
Commit to a second order in writing
'MOQ 100 now, MOQ 500 in 60 days if the first batch sells through.' A written follow-on commitment converts many suppliers. Make the second order conditional on success so you're not exposed if demand doesn't materialise.
Offer to mix SKUs from their catalog
'Can I split MOQ 500 across three SKUs at 150/200/150?' Cross-SKU MOQs solve their fixed-cost problem without forcing you to overstock one line.
Bundle with another buyer
Find a peer in a related niche and place a joint order that hits the MOQ. Arrange the split before you approach the supplier — showing up with the order composition decided is much stronger than 'I'll find someone.'
Accept longer lead time in exchange
Suppliers balance fast turnover against batch economics. Offering to wait 4–6 weeks for delivery often lets them fold your smaller order into a larger production run.

Build Long-Term Supplier Relationships
Your first enquiry is important, but your first order is more important. Suppliers remember buyers who communicate clearly, respond promptly, and place orders. These are the suppliers who will offer you better pricing, faster lead times, and priority access to new inventory. Be professional from day one.
