Learn how to find, respond to, and manage buyer enquiries from your supplier dashboard. Fast, professional responses build trust and lead to more sales.
All buyer enquiries land in Dashboard → Messages. This is your central hub for every buyer conversation and product enquiry, with status filters (New, Read, Replied, Archived) and bulk actions (mark as read, archive) available at the top of the list.
Each enquiry shows you:
You can reply inline with a quick-reply box right from the list view, or click into any thread for the full conversation. Use the status filter to focus on just New enquiries when you start your day, and the bulk checkboxes to archive or mark a batch as read once they’re handled.
Click any enquiry to open the full conversation thread. Type your response in the message box and click Send Reply. Your message is private and only visible to that specific buyer.
Best Practices:
Templates save time when handling high volumes of similar enquiries. Create templates for your most common responses — standard pricing tiers, sample policies, shipping info, payment terms, and more.
When replying to an enquiry, click Insert Template to load a pre-written response, then customize it for that specific buyer before sending.

New
An enquiry you haven't opened or read yet. This is your first notification that a buyer is interested.
Read
You've opened the enquiry but haven't replied. The buyer can see this status — respond quickly to show engagement.
Replied
You've sent a response. Track follow-ups here and continue the conversation until a deal is made or the enquiry is resolved.
Archived
You've moved the enquiry out of your active inbox. Archived enquiries remain searchable in history and don't count toward the internal average response time tracked in your Statistics dashboard.
If you're receiving a large number of enquiries daily, staying organized is critical. Here are proven strategies:
Your average response time is calculated from your last 30 days of activity and shown in your own Statistics dashboard. It isn't displayed on your public supplier profile today — we're holding it back until the data is production-ready — but replying quickly still drives real commercial outcomes.
Why it matters:
Buyers ask predictable questions. Prepare clear answers in advance so you can respond quickly:
"What is your Minimum Order Quantity (MOQ)?"
Prepare: Have clear MOQ figures for each product category. If you're flexible, state your flexibility upfront: 'Standard MOQ is 100 units, but we can negotiate for larger buyers.'
"Can you provide a sample?"
Prepare: Decide your sample policy: Do you offer free samples? Paid samples? Refundable sample fees? Communicate this clearly in your profile or templates.
"What are your shipping costs and lead times?"
Prepare: Have shipping costs ready for major regions (EU, US, Asia, etc.). State your average production and dispatch timeframes clearly.
"What payment terms do you accept?"
Prepare: List all accepted payment methods: Bank transfer, credit card, PayPal, escrow, etc. Mention any payment terms you offer (e.g., 30% deposit + 70% on dispatch).
"Can you customize or rebrand products?"
Prepare: If you offer white-label or custom services, prepare examples and pricing. If you don't, have a clear answer ready.
"What about bulk discounts?"
Prepare: Create a tiered pricing structure: '1–50 units: $10 each, 51–100 units: $9 each, 100+ units: $8 each.'
Never share bank account details, personal identification numbers, passwords, or sensitive company information through messages. Keep payment discussions to secure payment gateways or direct calls. WholesaleUp™ messages are for enquiry and deal negotiation only.
Waiting for enquiries isn’t your only channel. Every supplier tier can browse the buyer directory and initiate outbound enquiries to buyers whose sourcing profile matches what you sell. Filter by buyer type (online retailer, shop retailer, marketplace seller, dropshipper, reseller, distributor), preferred supplier types, countries, sourcing models (wholesale, dropshipping, liquidation, private label, white label, job lots), product quality tier, annual purchasing volume, MOQ comfort, brands sourced, and keyword — so you can prioritise outreach to the buyers most likely to fit your inventory.
Contact access by supplier tier:
Click Contact Buyer on any unlocked card or buyer profile to open the outbound enquiry panel. It’s the same message form used for inbound replies in Messages, with up to 5 file attachments (10MB each) and a one-click option to insert a message template. Buyers who have published a phone number also expose a Call Now quick action on their card.
